Academic Service Learning Administrative Assistant
General Summary

Reporting to the Assistant Director for Academic Service Learning (ASL), the ASL Administrative Assistant supports the daily operations of the Steans Center’s ASL team by implementing administrative systems, procedures, and policies, and monitoring administrative projects related to the coordination of some 200 Community-based Service Learning (CbSL) courses throughout the calendar year.
Principle Duties, Responsibilities and Other Job Related Information

Administrative, Clerical, & Project Management Responsibilities
  • Creates and revises systems and procedures by analyzing operating practices, recordkeeping systems, forms control, office layout, and personnel requirements; implementing changes. (25%)
  • Organize ASL meeting agendas, materials, and notes with action items. (30%)
  • Manage Community Partner Collaboration Agreement communications and processes. (20%)
  • Organize meetings/appointments and logistics such as space reservations, catering, and contracts. (10%)
·         Maintain supply inventory by checking stock, anticipating needs, placing orders, and verifying receipt. (5%)
·         Provide general support to Steans Center Lower Level visitors and answer/direct phone calls. (5%)
  • Other duties as needed or assigned—(5%)

Position Requirements (Minimum knowledge, skills, and abilities required)

Knowledge:
·         Knowledge of office management systems and procedures.
  • Proficient in Microsoft Suite (Outlook, Word, Excel, PowerPoint and Publisher).
  • Familiarity with Chicago communities and social issues therein.

Skills:

·         Verbal/written interpersonal and organizational communication.
·         Attention to detail and problem-solving.
·         Time-management (i.e. ability to multi-task and prioritize).
Abilities:
  • Organized self-starter.
·         Demonstrate initiative and strong work ethic.
  • Openness to working with diverse populations.
Position Qualifications (Minimum level of education and/or experience needed to be successful in the position)
  • Capable of handling high level administrative project management tasks.
  • Experience in community service, service learning, and/or non-profits.

Hour requirements/schedule:

Schedule to be determined with supervisor on a quarterly basis; however, applicant must be available on Wednesdays between 11:00am-4:00pm.
Position is for 20 to 25 hours per week throughout the calendar year.
