Title: Hiring Assistant


General Summary: Reporting to the Assistant Director of Student Employment, the Human Resource Information System (HRIS) Student Assistant will be responsible for managing the hiring paperwork & processes for the Student Employment area. The HRIS Student Assistant will develop efficient business practices through the use of information systems and maintain the Student Employment paperwork with extreme confidentiality and accuracy. The HRIS Administrator serves as the primary contact in communicating office processes/procedures, changes and issues to departments across campus, managers, students, etc. and serves as the liaison between Student Employment and Human Resources. In addition, the HRIS Student Assistant will assist with special projects within the Student Employment Office and Career Center and act as a representative of both offices.

Primary Responsibilities:
  • Confirm, enter, and track data in the Student Employment information tracking system while maintaining extreme accuracy and the integrity of data (50%)
  • Serve as the primary contact and liaison between Student Employment, hiring managers, Payroll, Human Resources and various departments across campus regarding student employment processes/procedures (25%)
  • Prepare and participate in Student Employment Hiring Sessions by presenting information on hiring paperwork to newly hired students (10%)
  • Utilize technology and training programs to continually update Student Employment processes and procedures (5%)
  • Actively participate in accomplishing Student Employment goals in a team environment (5%)
  • Other duties as assigned (5%)
Secondary Responsibilities:
  • Act as a receptionist for the Career Center and Office of Academic Advising Support by answering the phone, greeting students and fielding questions
Position Requirements (Minimum knowledge, skills, and abilities required):
  • Students interested in a career within Human Resources and/or Higher Education are encouraged to apply

  • Must have the ability to take initiative, to work independently with little to no supervision and to meet deadlines
  • Strong ability to work in a team environment
  • Must be comfortable working in a fast paced environment

  • General office skills such as filing, faxing, photocopying, answering the phone, customer service
  • Internet/email experience necessary
  • Microsoft Office Suite (PowerPoint, Word, Excel, Outlook) experience necessary
  • Experience in a professional environment, and knowledge of DePaul University and the general operating areas a plus
  • This position also requires commuting to the HR Department located in the Loop Campus to deliver paperwork on a daily basis
  • Must be able to give at least a one year commitment
Hour requirements/schedule:  
  • Approximately 20-25 hours per week. Must be able to work 4-5 days a week between the hours of 9am-5pm, Monday through Friday, and work at least 3 hour blocks at a time

Job Posting: Student Employment (Communication) Assistant

Student Employment (Communication) Assistant

General Summary:
Reporting to the Assistant Director, the Student Employment Communication Assistant is responsible for maintaining the Campus Job Board (CJB) database, managing departmental inbox, assist with social media posts and newsletters as well as help organize National Student Employment Week.
This student will have extensive contact with DePaul staff and students. They will act as a representative of the OSE and Career Center at university events, maintain employer and customer relations, and provide administrative support to the Assistant Director of Student Employment.

Principle Duties, Responsibilities and Other Job Related Information):
Campus Job Board (40%)
  • Update and maintain job postings in CJB as well as communicate with hiring managers on the status of their job posting
  • Act as the point of contact with students and managers for instruction and education around CJB
  • Assist in troubleshooting CJB issues with hiring managers and report system glitches to Career Center Technology Team
Social Media/Communication/Event Planning (30%)
  • Create content and campaigns for the OSE Twitter account
  • Compile information for quarterly newsletter and send out through Campaign Monitor to 800+ DePaul staff
  • Answer inquiries from the OSE departmental inbox from staff, faculty and students
  • Advise students interested in applying for on-campus employment; explaining procedures and providing information about Career Center services
  • Research, plan, promote and coordinate activities for National Student Employment Week
Administration and Support (20%)
  • Provide administrative support to the Assistant Director with projects and programs related to Student Employment
  • Track workshop/training attendance and outcomes
  • Develop procedures and processes for the office that increase department efficiency and utilize the technical resources available
  • Other duties as assigned

Receptionist Responsibilites (10%):
  • Act as a receptionist for the Career Center and Office for Academic Advising Support by answering the phone, greeting students, and fielding questions

Position Requirements:
  • Human Resources or Communication major is preferred
  • At least one year commitment to position and ability to work during university breaks (summer, winter intercession and spring break)
  • Previous customer service experience
  • Previous experience managing a social media account(s) in a professional setting is helpful
  • Excellent written and oral communication skills with the ability to speak in front of audiences, when necessary
  • Encompass the ability to work independently with limited supervision and make professional decisions
  • Proficiency in Microsoft Excel, PowerPoint, and Word
  • The ability to take initiative, work independently with little to no supervision, and to meet deadlines
  • Must be able to multi-task
  • Experience in a professional environment, and knowledge of DePaul University and the general operating areas a plus
Hour Requirements/Schedule: 
Approximately 20-25 hours per week. Must be able to work 4-5 days a week between the hours of 9am-5pm for at least a 3 hour time-frame
