Coordinator Position Description
Academic year 2018-2019
General Summary:
The College of Science and
Health (CSH) Office of Advising and Student Services is looking for a graduate
student coordinator to assist with managing the advising process during the new
transfer student orientation program, Transition DePaul. The graduate student
in this role reports to the associate director of academic advising, and is
responsible for coordinating and overseeing the logistical and administrative
processes of advising incoming CSH transfer students during Transition DePaul. The
graduate coordinator is responsible for managing new student registration queries,
coordinating electronic file preparation, creating advising grids, and tracking
supplemental credit. The graduate coordinator also has an opportunity to shadow
experienced faculty and staff academic advisors. This position requires knowledge of
university and college policies and procedures, the DePaul Vincentian mission,
and higher education and student affairs theory.
Principal Duties and
Responsibilities (Summer):

Create new
student registration queries and assist
with online file preparation process
·
Check transcripts
of incoming transfer students to
determine if Illinois Articulation Initiative requirements have been met
·
Interpret math
and writing placement tests and offer correct placement suggestions
·
Create Transition
DePaul advising grids based on faculty and staff availability. Email them to orientation partners in New Student
and Family Engagement (NSFE)
·
Serve as the
primary contact for any Transition DePaul schedule changes, including additions
and cancellations. Communicate changes to appropriate staff
·
Send faculty and
staff advisor email reminders in advance of Transition DePaul advising sessions
·
Lead advising
room set-up: verify technology works correctly, replenish resources and forms
in the advising space
·
Maintain list of
closed classes for each Transition DePaul session
·
Conduct schedule
auditing after Transition DePaul and contact students, if changes are necessary
·
Track and update
supplemental credit based on registration suggestions forms and communicate to
students once credit has been posted
·
Assist with
online file preparation for Premiere DePaul advising programs
·
Manage the
Transition/Premiere folders in the CSHAdvising@depaul.edu inbox
Academic Year responsibilities:
·
Monitor, track,
and communicate with undergraduate students who have received progress flags in
Bluestar
·
If needed, meet
one-on-one with students in advising sessions relating to registration
questions, degree conferral, or other academic needs
·
Support at-risk
students by sending outreach emails
·
Perform other
duties as assigned by associate director of academic advising
This
position begins (June 11, 2018) and continues through (September 28, 2018) with
the potential for employment during the academic year. The position commitment
is 22 hours a week in summer and 15-20 hours during the academic year. This is a paid position with a competitive
hourly rate. Tuition waivers/assistance
is not available.
Knowledge/Skills/Abilities:

Bachelor degree
required. Must be currently enrolled in
a graduate program at DePaul.

Graduate
coursework in counseling, higher education, college student development or
related program is preferred
·
Enrolled in a graduate
degree program
·
Knowledge of
science related majors is preferred
·
Excellent verbal
and written communication skills
·
Strong attention
to detail
·
Strong
organizational skills
·
Ability to work
independently and as part of a group
·
Ability to work
with a diverse population of students, faculty, and staff
·
Intermediate
proficiency in Microsoft Office and web browser tools
